Privacy Policy for Whakamana Teen Dance Club

Whakamana Teen Dance Club (“Whakamana,” “we,” “us,” or “our” ) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit (the “Site” ), contact us, apply for membership, subscribe to updates, or otherwise interact with our services.
Because Whakamana is designed for teens ages 13–18 and requires parent or guardian involvement for membership and participation, this Privacy Policy also explains how we may collect information from both teens and their parents or legal guardians in connection with membership review, consent, scheduling, communication, and club operations.
By using the Site or submitting information through it, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Site or submit information through it.
We may update this Privacy Policy from time to time. If we make changes, we will revise the Effective Date above. Your continued use of the Site after an update is posted means you accept the revised Privacy Policy.

1. Information We Collect

We may collect information directly from you, automatically through your use of the Site, and from parents or legal guardians in connection with youth membership and participation.

Information you provide directly

Depending on how you interact with the Site, we may collect:
name;
email address;
phone number;
mailing or contact address;
subject lines, comments, and other message content submitted through our contact form;
newsletter signup information;
membership application details;
emergency contact details;
parent or guardian names and contact information;
parental consent, waiver, release, or code-of-conduct acknowledgments;
information relevant to household or family memberships; and
payment or billing-related information needed to process memberships.

Information collected automatically

When you visit the Site, we may automatically collect certain technical information, such as:

Payment information

SMS opt-in consent may be collected through website forms, membership applications, parental consent forms, waiver forms, intake forms, checkout pages, or other written or electronic methods where you voluntarily provide your mobile number and agree to receive messages from us.
If you opt in to receive text messages, emails, or other communications from us, we may use your contact information to send club updates, membership notices, event reminders, scheduling information, customer-service messages, and promotional communications.
You may opt out of marketing emails by using the unsubscribe link included in those messages, where available. You may opt out of text messages by replying STOP to the sending number, if text messaging is used. Even if you opt out of marketing communications, we may still send transactional or service-related communications relating to memberships, safety, parental consent, billing, or club operations.
We do not share text messaging originator opt-in data or consent with third parties or affiliates for their own marketing or promotional purposes.

Parents and guardians

Because Whakamana is a teen-focused membership club, we may share relevant membership, consent, conduct, scheduling, or safety information with a teen member’s parent or legal guardian where appropriate.

We may disclose information if we believe it is necessary to comply with law, legal process, or governmental request, or to protect the rights, safety, property, members, staff, or operations of Whakamana or others.

6. Data Retention

We retain information for as long as reasonably necessary for the purposes described in this Privacy Policy, including membership administration, parental consent records, customer service, billing, dispute resolution, safety documentation, legal compliance, and internal recordkeeping.
We may retain certain records longer where necessary to comply with law, resolve disputes, enforce agreements, or document waivers, consent, or conduct-related matters.

We use reasonable administrative, technical, and organizational safeguards to protect information we collect. However, no website, system, or transmission method is completely secure, and we cannot guarantee absolute security.

8. Youth Privacy and Parent/Guardian Role

Whakamana is intended for teens ages 13–18 and is not a general-audience youth app designed for unsupervised children. Participation in club activities requires parent or legal guardian involvement, including consent documentation where applicable.
If you are a parent or guardian and believe that your child has provided information to us in a way that is inconsistent with your expectations or our process, please contact us. We will review the request and take reasonable steps consistent with applicable law and our operational and safety obligations.
If Whakamana becomes aware that it has collected personal information from a child in a manner that requires different handling under applicable law, we may take steps to delete, correct, or limit use of that information as appropriate.

9. Your Choices

Subject to applicable law, you may request to:
access certain personal information we hold about you;
correct inaccurate information;
request deletion of certain information;
opt out of marketing communications; or
ask questions about how your information is used.
Please note that we may need to retain some information for legal, safety, membership-administration, billing, parental-consent, or recordkeeping purposes even if a deletion request is made.

10. Third-Party Links

The Site may contain links to third-party websites, platforms, or social-media services. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies before submitting information to them.

11. Do Not Track

Some browsers offer a “Do Not Track” setting. Because there is not yet a universally accepted standard for how to respond to such signals, we may not respond to all Do Not Track requests.
